When information is added to the People Inc. system, the screens check that the details are complete and consistent with the rest of the system data. For example, if you add a holiday record, the system will check that the employee has a holiday allowance, and that they have not used all their holiday for the year in question. So, by using a combination of look-up list and data-validation routines, the system ensures that the information it contains is of the highest quality.

Even with checks and balances in place, it is still possible for issues to arise. When data is imported some of the data-validation is switched off. In addition, updates to time-dependent records are sometimes overlooked. Every night a set of checks are made automatically by the system, and the results of these recorded. Users can check this information and look to remedy any issues that have been identified.

The People Inc. system (in fact any database system) is only as good as the data it contains. If a system contains poor-quality data, it limits the benefits users can get from the system. Sometimes it is just a question of doing a little housekeeping on a regular basis.

The Data Check plugin provides a way to look at the quality of the data held within the system. It does this by highlighting areas where the data may be incomplete or incorrect. The plug-in then suggests ways to address any issues that are found.

Common examples of problems that may be hiding-away in the data include absence allowances that have not been closed (at year-end, allowances would usually be reconciled and closed), leavers with incomplete records (the leaver process helps to reconcile absence record and remove training needs that are no longer necessary), and records that are linked to look-up date that has been changed or removed.


Software tool for checking for data issues within People Inc

If any issues are identified, there are several People Inc. tools that can help sort out any issues that are found when system data is analysed. Data can be exported to Excel, updated, and then re-imported into the system. Tools are available to update fields globally, and re-calculate any associated data (employee FTE, allowances, etc.). There are also tools that can be used to remove information that is no longer needed.

Having dealt with any issues, it is easy to then re-run the health check tool on a regular basis to ensure the wellbeing of your People Inc. system, and our help desk team are on hand to help you with any queries you have relating to the issues raised during this process.

Running the System Health Check tool

The Health Check plug-in should be available from the Wizards menu within your People Inc. system. If you do not currently have access to this tool, it is available as part of the latest People Inc.
