Introduction

The People Inc. Training Registration feature is used to collect information about training attended by employees. Designed to complement the standard training management functionality, this optional feature gives both employees and managers the ability to contribute to their training records. Implementing this feature helps to ensure that staff training records are both complete, and up to date.

 

Background

The People Inc. system provides functionality designed to manage all aspects of employee training and development. Full details of training activities can be recorded for each member of staff within their records.

This includes details of formal training courses, together with details of any other work-related development activities. It is also possible to record and manage details of training needs using the system.

Training can also be managed from a course perspective; work-related courses can be defined within the system. Delegates can be registered on courses and target dates and reminders set for administrative activities. The system also enables users to generate correspondence (invitations, joining instructions, etc.) via letter or e-mail.

Training and other development information is readily available via the People Inc. Employee Self-Service module. Individual employees can usually see their own training record using this tool. Managers can also view details of training for their team using the Training Matrix feature. All staff can contribute to appraisals via the ESS screens.

 

Features

The Training Registration feature is used to add information to the training related details held in the system. Where individuals have attended some training, they can add these using this feature. It also enables Managers to look after the training records for their team, adding details of both training needs and completed training. Lastly, where a People Inc. system user has a batch of training records that need to be added to employee records, the feature serves as a bulk-update screen, making this task quick and easy to complete.

So the Training Registration feature can be accessed by a variety of different People Inc. users.

Note that it is possible to control which of these groups has access to the feature using standard People Inc. security profiles. In some implementations the feature is made available to managers, but not employees.

 

In Use

There are a number of strong benefits provided by the Training Registration feature.

Available to all staff, it encourages individuals to keep their training information up-to-date. While they are able to update their records, this is done via a separate system screen that logs all the transactions. It is then easy to see what has been changed.

Where the management of training is done at team or department level, mangers can use the feature to keep their teams training information up to date. The standard feature allows for the entry of records for completed training, but it is easy to extend this so that managers can add training needs for their employees too.

Keeping centralised records ensures that staff know where to go to get up tio date information. This also helps with the administration of company training events (full records are available in one system). Implementing this feature also helps to ensure that records are not kept locally on spreadsheets, calendars, etc. (this helps comply with GDPR).

The Training Registration feature is available as a free download and can be added to any People Inc. system. It is part of a library of Features available via the People Inc. Features Browser. Contact your People Inc. account manager to arrange to have this feature added to your system.
