July 2022 - Online Attendance Records

July 20th at 11am and at 2pm.

The People Inc. time and attendance module manages work-patterns and records staff attendance records. Once a staff roster is established, employees clock-in (and out) and the system processes this information to help manage attendance, overtime, and absence (including flexi-time).

This webinar takes a look at how shift-patterns and attendance information can be made available to staff on their PCs or mobile phones.

May 2022 - Job Costing

May 18th at 11am and at 2pm.

The People Inc. system provides two different approaches to Job Costing. This session takes a look at our online timesheet tool and explores how it can help users record and manage hours worked on individual projects or jobs (using their PC or mobile phone).

Job-related hours can then be viewed on-screen, analysed using reports, and extracted to MS Excel

March 2022 - Resource Planning

March 17th at 11am and at 2pm.

The People Inc. Resource Planning tool is a new feature available within our Time & Attendance module. It uses staff shift patterns to generate information about hourly staffing levels for each team. The shifts assigned to individual employees can then be adjusted so that cover is provided throughout the day.

This webinar takes a look at the Resource Planning feature and how it can be used to optimise the rostering of staff day-to-day.

January 2022 - Pay Periods and Roster Planning

January 19th at 11am and at 2pm.

Every year there are a number of areas of the People Inc. time system that need to be reviewed and updated before the system will collect clock-times effectively. This includes the registration of bank holidays, the replication of holiday allowances, the registration of pay periods and set up the roster.

This web covers all of these topics, plus, we plan to look at the benefits of closing old pay periods (and old holiday allowances).

September 2021 - Salary Review Manager

September 22nd at 11am and at 2pm.

The Salary Review Manager is designed to help update salary history records following a pay review. This tool updates entries for groups of employees (or for all employees), saving time and helping to ensure accuracy.

This feature can be used to import a spreadsheet of salay changes, or as a batch data-entry screen. It is also possible to import new salary figures, and then make adjustments to the entries before updating the system.

July 2021 - Updated ESS

July 22nd at 11am and at 2pm.

An updated version of the People Inc. ESS includes a number of interesting new tools.

  • A diary tool provides an overview of all HR-related activities (including training dates and important anniversaries.
  • A new version of the Employee Directory tool includes a number of updated features and can be used from a mobile phone.
  • The Absence Request process has been updated making the request and the review process much easier for staff.
  • A new statistics screen provides an overview of some important HR information (headcount, absence, diversity, etc.).

May 2021 - Productivity

May 12th at 11am and at 2pm.

A number of productivity tools were included in version 4 release of People Inc. last year. These tools enhance the way the Action List works and help users to register and manage key processes (particularly where other staff are involved)

It is now possible to create Action List entries automatically. These can be assigned to different members of staff and the system will then generate notifications and reminders (via e-mail).

Line managers can also be given access to their Actions via the ESS. This helps them to ensure that key dates (such as staff appraisals) are not missed.


March 2021 - Reporting and Statistics

March 10th at 11am and at 2pm.

One of the projects undertaken during Lock-Down was a wholesale review of the People Inc. reporting feature. A significant number of new report templates have been made available. These templates utilise and demonstrate some advanced features of People Inc.’s report writing tool.

All the new and updated report templates featured are freely available via the included Report Browser tool or by downloading from the Resources section of the website.

In addition to the updated report library, a new graphical Statistics screen has been added to the ESS. This provides users with analysis of important metrics such as staff turnover, absence rates, and diversity figures.

January 2021 - System Health Checks

January 20th at 11am and January 21st at 2pm.

The People Inc. system is designed to record and manage a wide variety of HR related information. It can prove difficult to spot when areas of the system need some housekeeping.

We recently introduced a tool to help monitor and manage People Inc. system data. This enables users to check that system data is up to date and identify any missing detail or potential issues.

This webinar demonstrates how the Health Check plug-in can provides users with an overview of the information held within their system and highlight any areas that should be reviewed or updated.


November 2020 - Absence Year End

November 18th at 11am and November 19th at 2pm.

At the end of the Holiday year there are a number of things that need to be done to ensure the system is ready to record the coming year's absence bookings.

There are two wizards designed to help manage Holiday Year End. One of these is designed to create holiday allowances for the coming year, the other is used to close last years allowances.

Bank holidays and carry-over should also be reviewed at year end. This year the rules for carry over will need to be brought into line with new legislation introduced as a result of the coronavirus pandemic.






September 2020 - On-line Attendance Records

September 23rd and September 24th at 11am and at 2pm.

There are several ways that staff can use the People Inc. Employee Self-Service module to view (and check) information relating to the hours they work.

  • Employees can see their own shift-pattern plus details of hours they have worked using the ESS Scheduler (this tool provides daily entries for these records).
  • They can see a summary of their attendance records (including overtime records) for each pay period. This should match the wages paid to them.
  • It is also possible to provide employees with access to their payslips via the People Inc. ESS.


July 2020 - ESS Scheduler

July 15th at 11am and July 16th at 2pm.

The Employee Self Service scheduler feature provides a calendar view of employee-related events (as recorded within the People Inc. system). This includes anniversaries and other key dates (such as end-of probation), training needs and bookings, holidays and other absence information (holiday requests, bank holidays, etc.), shift patterns, and hours worked.

The ESS Scheduler provides a day/week/month option for personal information, and a time-line when information for more than one employee is shown. For People Inc. time users the shift pattern and actual hours are displayed for each day.






May 2020 - Employee Directory

May 20th at 11am and May 21st at 2pm.

An updated version of the Employee Directory is now available. Accessible from either a PC or a mobile phone, this feature provides access to employee contact details (telephone, e-mail) and availability.

It is possible to make a variety of information available using the Employee Directory. By default the employee's name, their photograph, their phone number and e-mail address are displayed. The telephone and e-mail are hyperlinks, and clicking on them will either call or e-mail the individual concerned


March 2020 - Training Matrix

March 18th at 11am and March 19th at 2pm.

The People Inc. training matrix plug-in provides an overview of employee training, detailing the courses they have completed, training needs and any planned training.

The feature uses information recorded in the Training History within the People Inc. system to build a configurable grid. Users can then see gaps in the training provided to staff via the colour-coded entries.






January 2020 - HR Policy sign-off

January 7th and January 8th at 11am and at 2pm.

The HR Policy add-on is designed to enable users to publish details of HR policies so that employees can indicate that they have read and understood them. Employees access the list of HR policies via their ESS login.

The add-on can publish different sets of documents to employees working in different roles. when an employee is assigned to a role (job) or a new policy document is assigned to the role, the employee is notified by e-mail.


December 2019 - Absence Year End

December 11th at 11am and December 12th at 2pm.

Holiday allowances are usually awarded annually. At the end of the year these need to be reconciled (to ensure staff have taken the correct amount of holiday) and then closed.

In addition to this, bank holidays and carry-over should be reviewed, and if it has not yet been done, allowances for the coming year need to be created.






November 2019 - Adding Fields to Screens

November 13th at 2pm and November 14th at 3pm.

The Screen Designer enables users to adapt the screens included with the standard People Inc. system (for example, users can add new fields to screens). This tool also enables users to add new data screens (enabling them to manage virtually any information they wish).

There are many situations where this is useful. By using this feature, users can capture and manage industry-specific information (and in doing so, use the system to assist in their compliance with legislation for example). This Webinar will introduce users to adding fields to existing screens.


October 2019 - Org-Chart Feature

October 17th at 11am and October 18th at 2pm.

Users can generate org-charts based on employee records within the People Inc. system (or select a company, department, or location and generate a chart that includes just the people who work in this area).

It is possible to modify the way the organisation chart looks, this includes a choice of colour for the background, cells and the text. A choice of styles can be used in the chart (rectangular, rounded corners).






September 2019 - Managing Appraisals

September 17th at 11am and September 18th at 2pm.

People Inc. provides a number of different routes to enable users to manage staff appraisals.

ESS managers can schedule and manage staff appraisals via their ESS login. Employees are also able to view and contribute to their appraisals via their ESS login.


August 2019 - People Inc. and Mobile Phones

August 20th at 11am and August 21st at 2pm.

The Employee Self-Service module (ESS) enables staff to access their information and submit requests, for example when they want to take time off work. When this is done via a mobile phone, the layout of the ESS is slightly different and information is formatted to fit on a phone's screen.

Depending on your organisation's policy on access, using the ESS may be restricted to the time that employees are at work. If your ESS is published externally (on the Internet) users will be able to access their ESS account from their mobile phone when they are elsewhere.






July 2019 - Return to Work

July 17th at 11am and July 18th at 2pm.

When an employee returns to work following a period of sickness, they need to provide their employer with information about their absence.

Where the duration of a period of sickness is less than 7 days, employees can provide self-certification. This should be recorded against individual sickness records.

Where the absence from work lasts for 7 days or longer, the employee must ask their doctor to provide them with a Fit for Work note.


June 2019 - Installing New Features

June 12th at 11am and June 14th at 2pm.

The Features Browser enables users to download and add new features to the People Inc. system.

While it is possible to use the Screen Designer to add functionality to the People Inc. system, the Features Browser enables users to select optional screen-based functionality from an online library, download the screen definitions and add them to their system.






May 2019 - Return to Work

May 15th at 11am and May 16th at 2pm.

When an employee returns to work following a period of sickness, they need to provide their employer with information about their absence.

April 2019 - Managing Leavers

April 17th at 10am and April 18th at 2pm.

When an employee decides to leave, they need to inform the HR team in writing. HR can then determine how much annual leave they have left. There may also be queries relating to their pension arrangements.

Leavers usually attend an exit interview, or complete an exit questionnaire, and will be required to handover any projects or activities they are responsible for. Any uniform, equipment or documentation that has been issued to the employee will need to be returned before they leave, including identity cards, keys, phone, etc.






March 2019 - New Starters and On-boarding

March 20th at 11am and March 21st at 3pm.

When new staff join, the entire induction process can be managed using People Inc. The system automatically creates a check-list of all the on-boarding activities for each new starter. These are usually created as Action-List entries, however, it is also possible to create an on-screen check-list to manage staff induction.

Where other staff contribute to staff induction (for example, IT may issue computers and mobile phones), they can be notified and can update their steps in the on-boarding process.


February 2019 - Absence Reporting and the ONS

February 19th at 11am and February 20th at 3pm.

The Office for National Statistics monitor and report on absence from work. This information is available in annual reports (published on their website).

A suite of report templates based on the measures and categories used by the ONS are available for People Inc. There reports replicate the content stayle and layout of the ONS absence reports.






January 2019 - Time Off in Lieu

January 16th at 11am and January 17th at 3pm.

From time to time employee may need to work additional hours (over and above their standard work pattern or contractual hours). When this happens, employees may receive additional leave in lieu of payment for the extra time they have worked.

It is possible to manage this information within People Inc. using electronic timesheets. The timesheets enable an employee to register the extra hours they have worked and request time off in lieu (or payment).

The People Inc, Mail Queue Manager plug-in gives the user control over system's People Inc. e-mail queue. When e-mail is generated from the system, if it fails to send it remains in the e-mail queue until the problem is resolved. The plug-in enables users to view and manage queued e-mail messages.

February 2018 - Letter Templates

Based on user-definable templates held within the system, is possible to generate letters and e-mail using People Inc. When this is done, the system automatically merges address information (and other information) into the letter, and automatically saves a copy attached to the employee's record.


January 2018 - Custom Access Profiles

People Inc. user access is managed via user-profiles. It is possible to define user-accounts that only grant access to specific information (and functionality), for example, for recruiters, for those who manage vehicle fleets, or for health and safety officers.
