Managing Employee Training


At some stage, all employees need training. It may be training that is related to their job (related to processes or office systems, or equipment they need to use), it may be training designed to help with personal development (to help them take the next step in their career), or perhaps the organisation needs to train staff to ensure compliance with work-related legislation.

Providing training for employees will help them to do their job, it is likely to make the work they do more fulfilling, and it will also motivate them and encourage them to make a greater contribution at work.

Listed below are ten ways in which the People Inc. system can help manage employee training.


Training Records

Using the system it is possible to record a full history of training activities for each employee. This includes details of both the formal courses, and any ad-hoc training employees undertake. Copies of certificates and course feed-back forms can be saved (as attachments) against the employees’ training records.


Training Needs

People Inc. can help manage employee training needs. Details can be added by HR staff, or by line managers, and training needs identified during an appraisal can also be recorded in the system. People Inc. can send reminders (via e-mail) when the target dates for individual training needs draw near.


Overview

People Inc. provides a full range of features to help manage employee training records, schedule and run training activities, highlight important dates, and share staff-training information with other members of staff.

Training Expiry

Some training courses will have an expiry date. When this is the case, the employee will usually need to attend a refresher course. People Inc. will help manage training that expires. The system can automatically highlight courses that are about to expire (and can notify HR or the employee's line manager via e-mail).


Role-Based Training Needs

While most employees will need to attend core training courses, specialist training is also required for some roles. The People Inc. system can help to ensure all staff have attended core training courses, and can automatically identify specialist training needs for individuals when they change job.


CPE/CPD Records

Staff can register details of any training activities they have undertaken using the ESS module. If they have annual training targets (defined using a points system), People Inc. can help manage these figures, keep a tally of the points accrued by employees, and provide totals for the costs associated with this training.


Course Administration

Training can be managed by adding courses into the People Inc. system, and then adding details of delegates. When this is done the training history held for employees is automatically kept up to date. This approach also enables training administrators to generate invitations and other course material and send it to delegates via e-mail.


Bulk Training Bookings

Rather than deal with things one at a time, tools are provided within People Inc. to manage training information for groups of employees (making updates quicker, and easier). Using these tools, training needs can be assigned to several employees at the same time, or a selection of employees can be booked onto a course. More...


Training Matrix

Accessible to HR and to line-managers, the Training Matrix provides an overview of the training undertaken within an organisation. It highlights training that has expired, or training that still needs to be arranged. Individuals, or groups of employees can also be booked onto a training course using this feature. More...


Your Specific Requirements

Flexibility is one of the People Inc. system’s real strengths. Users can add training-related features to their system using the Screen Designer. For example, it is possible to add a Training Budgets screen (to record an annual training budget per department), or an online Training Feedback Form for employees to fill out when they attend training. Reporting

All information within the People Inc. system can be used to generate reports. Reports can be form-based, they can be tabular, or they can include graphs. They can be used for formal management reporting, for data-analysis, or for simple queries. Reports can be exported to Excel, e-mailed as a PDF attachment, or shared via the ESS. More...
